Staff claims will only be processed for the three month period immediately after WWDC has finished.
Students claims will normally only be processed for the three month period immediately after WWDC has finished. In cases where a student believes this time frame would cause genuine hardship, they may request a partial reimbursement but only for items paid in advance.
Claim Conditions
All scholarship recipients should be aware of the following conditions:
- claims will only be paid for WWDC Scholarship recipients as listed on the AUC web site.
- claims should be made by the scholarship recipient if he or she has incurred the relevant expenses, and by the University if the University has met those expenses.
- all claims are for reimbursement of documented costs in attending WWDC.
- the AUC will reimburse claimants by way of cheque only, cash is not available.
- all claims (including those to New Zealand scholarship recipients) will be paid in Australian Dollars (AUD).
- prior to submitting your claim, the AUC would appreciate you filling in a survey to understand your WWDC Scholarship experience.
- copies of invoices for amounts paid in Australia should be on an official Tax Invoice quoting the amount of GST paid (if any) and an Australian Business Number (ABN).
- claims for expenses paid overseas must be substantiated by way of a receipt.
- claims paid by credit card must be accompanied by a statement showing the amount paid in Australian Dollars (AUD) or New Zealand Dollars (NZD).
IMPORTANT: An amount of AUD$400 will be deducted from any claim that does not include a copy of a receipt from the Downtown Courtyard Marriott hotel in San Francisco showing the scholarship recipient stayed there during WWDC.
Student Scholarship Claims
Claims in respect of competitive student scholarships of up to AUD$3000 reimbursement (plus connecting cost) may be made by presenting the following documents:
- a completed copy of the AUC Claim Form
- a copy of their WWDC Student E-Ticket
- an invoice confirming the purchase of airfares to the USA
- an invoice confirming the purchase of domestic travel to the nearest international departure port (Sydney, Melbourne, Brisbane or Auckland)
- an invoice confirming payment of accommodation at the San Francisco Downtown Courtyard Marriott Hotel during the conference
- a copy of a travel insurance invoice confirming coverage during the conference period
OR
- a completed copy of the AUC Claim Form
- a copy of their WWDC Student E-Ticket
- a tax invoice from the university issued after WWDC 2012 for the total scholarship amount of AUD$3000. The GST on this should to be $0.00 as the expenses incurred are overseas in nature.
- an invoice confirming payment of accommodation at the San Francisco Downtown Courtyard Marriott Hotel during the conference
- a signed declaration from the AUCDF coordinator that the costs were incurred by the University in sending their scholarship recipient to WWDC and that the AUCDF coordinator is satisfied that the delegate was covered by adequate travel insurance.
Staff Scholarship Claims
Claims in respect of staff scholarships of up to AUD$4549 for both allocated and competitive staff scholarships (plus connecting cost) may be made by presenting the following documents:
- a completed copy of the AUC Claim Form
- a copy of their WWDC E-Ticket Invoice from Apple
- documentation confirming the purchase of airfares to the USA (eg., invoice)
- an invoice confirming the purchase of domestic travel to the nearest international departure port (Sydney, Melbourne, Brisbane or Auckland).
- for allocated scholarships, a signed letter on University letterhead from the local AUDF Coordinator stating that the staff member has been awarded the scholarship as a result of a fair and reasonable competitive selection process.
- an invoice confirming payment of accommodation at the San Francisco Downtown Courtyard Marriott Hotel during the conference
OR
- a completed copy of the AUC Claim Form.
- a copy of their WWDC E-Ticket Invoice from Apple
- a tax invoice from the university issued after WWDC 2012 for the total scholarship amount of AUD$4549. The GST on this should be $0.00 as the expenses incurred are overseas in nature.
- an invoice confirming payment of accommodation at the San Francisco Downtown Courtyard Marriott Hotel during the conference
- for allocated scholarships, a signed letter on University letterhead from the local AUDF Coordinator stating that the staff member has been awarded the scholarship as a result of a fair and reasonable competitive selection process and that the AUDF Coordinator is satisfied that the delegate was covered by adequate travel insurance
Connection Cost Limits
In addition to the subsidy limit for all scholarship programs, regional delegates may claim the cost of flying to their nearest international departure port (Sydney, Melbourne, Brisbane or Auckland), up to the following limits:
Adelaide – $280
Albury – $100
Armidale – $390
Canberra – $180
Hobart/Launceston – $270
Perth – $500
Port Macquarie – $353
Rockhampton – $380
Townsville – $190
Dunedin – $200
Delegates from universities within a 4 hour travel distance by bus, train or car from the nearest international departure port are expected to use this option for which the AUC does not provide any subsidy.
These amounts are based on published advance-purchase Qantas fares in conjunction with travel from Australia to San Francisco.
